Adding Inventory Items

This guide covers how to add new items to your inventory, set pricing, and manage item details.

Adding a single item

  1. Navigate to Inventory in the sidebar
  2. Click the Add Item button
  3. Fill in the item details (see below)
  4. Click Save

Required fields

FieldDescription
NameThe item name displayed to customers (e.g., "Mini Excavator CAT 303")
CostThe base rental rate for this item
QuantityHow many identical units you have available

Optional fields

CategoryWhich category this item belongs to
DescriptionDetails about the item shown on your storefront
ImagesPhotos of the item (drag to reorder, first image is the thumbnail)

Setting pricing

Each item has a base rate that you set when creating it. You can configure additional pricing tiers:

  • Daily rate — the default rental price per day
  • Weekly rate — a discounted rate for week-long rentals
  • Monthly rate — a discounted rate for month-long rentals

Pyra automatically applies the best rate for the customer's rental period at checkout. For example, a 7-day rental uses the weekly rate if one is set.

Use pricing rules to set up more complex pricing — seasonal rates, customer-specific discounts, or category-wide adjustments.

Managing item images

Good photos help customers choose items on your storefront.

  1. Open an item for editing
  2. Scroll to the Images section
  3. Click Upload or drag and drop image files
  4. Drag images to reorder — the first image becomes the storefront thumbnail
  5. Click the X on an image to remove it

Supported formats: JPG, PNG, WebP. Recommended size: at least 800x600px.

Editing an existing item

  1. Go to Inventory
  2. Click on the item name or the edit (pencil) icon
  3. Make your changes
  4. Click Save

Changes take effect immediately on your storefront.

Deleting items

  1. Go to Inventory
  2. Click the delete (trash) icon next to the item
  3. Confirm the deletion
caution

Deleting an item removes it from your storefront and future availability. Existing orders that include this item are not affected — they keep their records for history.

Bulk import

If you have many items to add, use the CSV import feature:

  1. Go to Inventory and click Import Items
  2. Upload a CSV file with columns for Name, Cost, Quantity, and optionally Category, SKU, and Description
  3. Map your spreadsheet columns to Pyra fields
  4. Review the preview and confirm
